Renter onboarding

One link. Signed, verified, ready for pickup.

As soon as a booking is made or approved, the renter gets a single secure Manage Rental link by email. It takes them through the agreement, an identity check if your rules call for one, and a clear all-set status. The same link shows their pickup details and the rental's status for as long as the rental lasts.

The renter's Manage Rental page: a confirmed rental summary with equipment, dates, estimated total and deposit, then the Getting ready for pickup steps: review and sign your agreement, then you're all set (this rental doesn't need an ID check).

The flow

What the renter sees

No account to create, no app to install. The link opens in any phone or laptop browser.

  1. Open the Manage Rental link

It arrives by email with the booking confirmation. The link is unique to that rental and expires. Staff can also copy it or resend the email from the booking.

  2. Review and e-sign the agreement

The renter reads the rental agreement, exactly as it was when you sent it, types their name and signs on screen.

  3. Verify identity, if you require it

When your rules call for it, the renter photographs their ID and takes a selfie. The check is handled by Stripe Identity, and Yardstick never stores the images.

Your rule: always, above a rental amount, or for certain equipment categories.

  4. You're all set

A clear status tells the renter they're ready, alongside your pickup instructions. The same link continues to show the rental's status, and it's where they complete a self-service return with photos if you use that.

Manage Rental on a phone

Why one link

Pickup becomes a handover, not a paperwork session.

Everything that used to happen at the counter with a clipboard happens before the renter arrives, and your team can see from the booking exactly what's still outstanding.

The agreement they signed is the one you sent

Agreements are frozen at the moment they're sent. Editing your template later never changes a document a renter already has.

ID checks only where you want them

Require verification for every rental, only above a rental amount, or only for certain equipment categories. Small rentals stay quick; big ones get checked.

Held at the gate until it's done

When a check is required, the unit can't be released until it passes. An owner or manager can override with a recorded reason, so the exception is on the record.

Works on the renter's phone

Signing and the ID check are designed for a phone, which is where most renters open the email anyway.

Self-service return, same link

Renters document the return with photos through the same Manage Rental link, so after-hours drop-offs are still recorded and still get an AI Damage Check for your team to review.

Secure and expiring

Each Manage Rental link is unique to its rental and expires. Stripe handles the verification; Yardstick never receives the ID photo or selfie.
